We understand that life happens, but because our workshops require significant preparation and have limited spots, we apply the following cancellation policy to protect the sustainability of our programs.

1. Cancellation Schedule

We want to protect your investment in your creative growth while maintaining the stability of our small-group classes. If you need to cancel your registration, the following refund rates apply based on when we receive your written notice:

• Up to 40 days before the event: 100% refund (minus an administrative fee to cover non-refundable transaction costs).

• Less than 40 days before the event: No refund can be provided. Once you enroll, you will have a credit for the class you have enrolled for, or the lowest level of class that you have not completed. You will never lose your money and can come back at any time to take the class that you paid for.

2. Administrative Fee

For any cancellation where a refund is issued, a flat administrative fee of 2.500 ISK will be deducted. This fee covers the costs already incurred for invoicing through our invoicing platform provider payday.is and bank fees from Íslandsbanki, which are not recovered when a refund is issued.

3. Substitutions

If you cannot attend, you are always welcome to send someone else in your place at no extra cost. Please just notify us at info@improving-playfully.com with the new participant’s name and contact details (including their kennitala) at least 24 hours before the event starts.

If we have a waitlist and are able to fill your spot with another participant, we will issue you a 100% refund (minus the 2,500 ISK administrative fee) regardless of when you cancel.

4. Event Cancellation by Improving Playfully

In the rare event that we must cancel a workshop or course (e.g. due to instructor illness or force majeure), we will prioritize finding an alternative date.

• Rescheduling: If rescheduling is not possible, or if the new date makes it impossible for you to attend, you will receive a 100% refund of the workshop fee.
• Partial Cancellations: Please note that full refunds for multi-week courses are only granted if the entire course is cancelled without a replacement date being offered.
• External Costs: We are not responsible for any associated travel or accommodation expenses incurred.
